How to create a VAT-ready records routine

A VAT-ready routine is not a one-day scramble. It is a small agreement with yourself and your team about how money-moving documents are captured, named, checked, and made available for review.

Put capture before filing

Create one route for each document that enters the business. A sales invoice, supplier invoice, receipt, agreement, and payment confirmation should have a predictable destination. The easier it is to follow that route, the less likely it is that a document stays in an inbox or a chat thread.

Review the exceptions, not every file

Use a short weekly review to look for the things that do not fit the pattern: missing documents, unclear descriptions, unexpected adjustments, or a payment without a matching record. This makes a monthly review a decision session instead of a search session.
